Business terms
For organisations using OurGathering for Teams. The service is provided by LUXD LTD, a company registered in England and Wales (company number 17465024), registered office Flat 1b, 153 Wandsworth Bridge Road, London SW6 2TT. Last updated 26 October 2026.
The agreement
- These terms are between us and the organisation that sets up an account (“you”). The person who sets it up confirms they can accept them for the organisation.
- Pilots are agreed with us directly, including any price. Nothing is charged through the website.
- Our data processing agreement forms part of these terms.
What the service does and doesn’t do
- It helps you plan internal events: who’s going, their answers, the plan, rooms, a budget with approvals, and claims.
- It records spend and approvals. It doesn’t pay suppliers or people, hold money or book anything.
- It’s a pilot service and will change as we learn. We aim to keep it available and your data safe, and we’ll tell you before any change that reduces what it does for you.
Your responsibilities
- Invite only people who would expect to hear from you about the event, and ask only what you need for it.
- Decide who in your organisation may read health and access answers, and keep that list short.
- Remove people promptly when they leave. Removing someone from the organisation ends their access to all its events.
- Keep sign-in details and invitation links private.
Your data
- What you and your people add belongs to you. We use it only to provide the service.
- You can export an event’s data, and ask us to delete your organisation and everything in it.
- Health and access answers are deleted automatically 30 days after an event ends.
Ending
- Either of us can end a pilot by telling the other in writing. You’ll have 30 days to export what you need before we delete it.
- We may suspend an account that puts people or the service at risk, and will tell you why unless the law stops us.
Liability
Our total liability in any year is limited to the amount you paid us in that year. We aren’t liable for arrangements between you and others, such as bookings, travel or payments. Nothing limits liability that can’t be limited by law, such as for death or personal injury caused by negligence, or fraud. English law applies.
